Plan your days
Add and edit tasks
Create a task, give it a date, time, priority, list or goal, add subtasks and tags, and save or delete it.
A task in Plannedo is one item that shows up wherever it belongs: on Today, on its day in Week and Month, in its list and on the Tasks screen. You never copy a task between views — you edit it once, and every view shows the change.
Add a task
Section titled “Add a task”Pick whichever is closest:
- Today — type into the Add task row at the top of the day’s list.
- Week and Month — hover over a day and click Add task, or click empty space in that day. Type the title and press Enter. On a phone, Month shows an Add task field under the selected day.
- A list — every list has an Add task to … field; Enter puts the task at the top of that list.
- Tasks screen — the New task (+) button.
- Inbox — the capture field at the bottom. See Inbox.
- Phones and narrow windows — the round + button in the bottom-right corner adds a task to the screen you’re on.
- Mac app — ⌘ N on Today, Week, Month, Tasks or a list.
A task saved without a date and without a list goes to the Inbox, so nothing you jot down gets lost.
The task editor
Section titled “The task editor”Click or tap a task’s title to open it. On Today the task turns into an editor right where it is. On Week, Month, Tasks and Lists the editor opens next to the task, or slides up from the bottom on a phone.
At the top are the title and a Note field that grows as you type. Under them:
- Date — shows No date or the day. On Today it also offers Today, Tomorrow and Next Monday.
- Time — shows Time while empty. Pick one of the suggested hours or choose Custom time… and type it:
9,930,9:30,9pmand9:30 amall work. The × clears it. - + (Show more fields) — reveals everything else. A field that already has a value is always shown.
| Field | Choices |
|---|---|
| Priority | The bars button cycles through No priority, Low, Medium and High |
| Favorite | The star. Favorite tasks are listed first within their day. |
| Repeat | No repeat, Daily, Weekly, Monthly — see Repeating tasks |
| Reminder | At time, 5 min before, 15 min before, 1 hour before, 1 day before — Pro, see Reminders |
| List | No list or any of your lists |
| Goal | No goal or any active goal — see Connect tasks to a goal |
A task has one time of day. There is no duration or end time.
Save, close or delete
Section titled “Save, close or delete”- Save: press Enter in the title, or click anywhere outside the editor. There’s also a round ✓ button.
- Close without saving: press Esc, or swipe the editor down on a phone. Unsaved changes are discarded.
- Delete: open the … menu (Task actions) and choose Delete task.
On Today, pressing Enter on a new task saves it and leaves an empty editor open for the next one, so you can type a whole day’s list in one go.
Subtasks
Section titled “Subtasks”Once a task is saved, its editor shows its subtasks and an Add subtask row. Subtasks are one level deep.
- A new subtask starts with the parent’s date, list and goal.
- Each subtask is ticked on its own. Completing the parent doesn’t complete its subtasks.
- On Week you can also expand a task and use its Add subtask row, or drag a task into an expanded task to nest it.
Type # followed by a word anywhere in a title or note — #calls, #errands, #q4-review. As you type, Plannedo suggests tags you already use: pick one with ↑ ↓ and Enter or Tab.
- A tag starts with a letter or digit and can contain letters, digits,
_and-. - Tags aren’t case-sensitive:
#Callsand#callsare the same tag. - Your tags are listed under Tags in the sidebar. Click one to see every task that carries it.
- A tag disappears by itself once no task uses it.
Priority and favorites
Section titled “Priority and favorites”Priority shows as one to three bars on the right of a task: Low in green, Medium in gold, High in red. On the Tasks screen, tasks of the same day are sorted by favorite first, then by priority.
Limits
Section titled “Limits”Titles can be up to 255 characters and notes up to 5,000. The number of tasks is unlimited on every plan.
